1. Purpose
This Cancellation & Refund Policy explains the conditions governing appointment cancellations, treatment postponements, deposits, refunds, and payment disputes for services offered by Renewal Medical Clinic.
By requesting a quotation, scheduling a consultation, booking a treatment, or making any payment, the patient acknowledges that they have read, understood, and accepted this policy.
2. Booking Confirmation
A treatment reservation is considered confirmed once the required payment or deposit has been successfully received.
Following confirmation, Renewal Medical Clinic may immediately begin arranging medical consultations, treatment schedules, physician availability, accommodation, airport transfers, interpreters, and other services on behalf of the patient.
3. Deposits
A deposit may be required to secure treatment dates and related services.
Unless otherwise stated in writing, deposits are applied toward the total treatment cost.
Deposits are intended to reserve medical resources and scheduled services and may become non-refundable once booking arrangements have commenced.
4. Patient Cancellation
Patients wishing to cancel must notify Renewal Medical Clinic in writing by e-mail or WhatsApp.
Refund eligibility depends on the stage of the booking and services already arranged.
Where medical planning, physician scheduling, accommodation, transportation, or administrative services have already been performed, the corresponding costs may be deducted from any refundable amount.
5. Rescheduling
Patients may request to reschedule their treatment date.
Requests are subject to physician availability and operational capacity.
Payments already received may be transferred to the new appointment date where reasonably possible.
6. Refund Eligibility
Refund requests are evaluated individually.
Refunds may be reduced or denied where:
- Medical consultations have already been completed.
- Personalized treatment planning has been prepared.
- Physicians or operating facilities have been reserved.
- Hotel reservations or airport transfers have been confirmed.
- Third-party suppliers have already incurred non-refundable costs.
- Administrative services have already been performed.
Each request will be reviewed based on the actual services provided prior to cancellation.
7. Medical Circumstances
Where treatment cannot proceed due to medical reasons determined by the treating physician, Renewal Medical Clinic will review the case individually.
Where appropriate, unused amounts may be refunded after deducting any costs already incurred.
Medical documentation may be required.
8. Clinic Cancellation
If Renewal Medical Clinic is unable to provide the booked treatment due to circumstances within its control, the patient may be offered:
- A new treatment date;
- An alternative physician or treatment plan; or
- A refund of any unused prepaid amount, where applicable.
9. Third-Party Expenses
Renewal Medical Clinic is not responsible for losses relating to services purchased directly from third parties, including but not limited to:
- Airline tickets
- Visa expenses
- Travel insurance
- Hotel reservations made independently
- Personal transportation arrangements
Patients are encouraged to obtain appropriate travel insurance.
10. Payment Disputes and Chargebacks
Patients agree to contact Renewal Medical Clinic before initiating any payment dispute or chargeback with their card issuer.
Where a chargeback is initiated, Renewal Medical Clinic may submit supporting documentation including, but not limited to:
- Treatment quotations
- Medical consultation records
- Appointment confirmations
- Invoices
- Payment confirmations
- E-mail correspondence
- WhatsApp communications
- Website submission records
- IP address and electronic acceptance logs
- Booking confirmations
- Travel and accommodation arrangements
- Copies of applicable Terms of Service, Privacy Notice, and this Cancellation & Refund Policy accepted before payment
These records may be used to demonstrate that the patient requested the services, accepted the applicable policies, and authorized the transaction.
11. Refund Method
Approved refunds will be issued using the original payment method whenever possible.
Refund processing times may vary depending on the payment provider and the issuing bank.
Bank processing times are outside the control of Renewal Medical Clinic.
12. Electronic Acceptance
By making any payment through our website, payment link, invoice, online payment page, or any other authorized payment channel, the patient confirms that they have:
- Read this Cancellation & Refund Policy;
- Read the Terms of Service;
- Read the Privacy Notice;
- Understood the applicable conditions;
- Accepted all applicable policies before completing payment.
Electronic acceptance may be evidenced by website checkbox confirmations, online forms, electronic signatures, payment records, IP addresses, timestamps, communication logs, or other electronic records maintained by Renewal Medical Clinic.
13. Governing Law
This Cancellation & Refund Policy shall be governed by the laws of the Republic of Türkiye.
Any disputes arising from these services shall be subject to the jurisdiction of the competent courts and enforcement offices of İstanbul, Türkiye, unless otherwise required by mandatory applicable law.
